Privacy Policy

Effective date: 22 October 2026

This policy explains what personal information I collect when you use this website, buy a course, track or training, book a class or session, or join my mailing list, and how I look after it. It applies to everything sold through sophiefletcher.co.uk.

1. Who I am

This website is run by Sophie Fletcher, trading as Mindful Mamma®. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), I am the controller of the personal information described here, and I am registered with the Information Commissioner's Office. You can contact me about anything in this policy at [email protected] or on 07983 461073.

2. What I collect

  • Contact and account details: your name, email address and the login you use for the course platform.
  • Postal address and phone number: when you book practitioner training, so that I can post your training pack, and when you buy anything else that needs posting.
  • Purchase details: what you bought, when, and how much you paid. Card and payment details are taken directly by my payment providers. I never see or store your full card number.
  • Training records: for practitioners, your booking and live training date, your training and class reflections, certification, renewal status and, if you choose to be listed, the details shown in the Practitioners Directory.
  • Information you share for classes and sessions: for example your due date if you attend a hypnobirthing class, or information you give in a pre-session or supervision form. Some of this may be health information, which I treat with particular care and use only to provide the class or session you have asked for.
  • Messages: anything you send me by email, through the contact form, in the community or in reply to my emails.
  • Website and device information: your IP address, browser and device type, pages visited and similar technical information, collected through cookies and similar technology (see section 8).

3. How I use it, and the legal basis

  • To provide what you have bought (contract): giving you access to courses and tracks, running live training and workshops, posting packs, issuing certificates, sending booking and joining emails, and managing renewals.
  • To run the business properly (legal obligation and legitimate interests): keeping accounts and tax records, preventing fraud, handling questions and complaints, and keeping the website secure and working well.
  • To keep in touch (consent, or legitimate interests for existing customers): newsletters and news about courses and training. Every marketing email has an unsubscribe link, and you can opt out at any time.
  • Health information (your explicit consent): used only to deliver the class, session or supervision you have booked, and never for marketing.
  • To understand how the website and adverts perform (consent): through analytics and advertising cookies, only where you have agreed to them.

Emails about something you have bought, such as your login details, joining instructions and renewal notices, are part of the service and are sent whether or not you are on the mailing list.

4. Who I share it with

I never sell your information. I share it only with the services and people who help me run the business, and only as much as they need to do their job:

  • Kajabi, which hosts this website, the course platform, the community and my email.
  • Stripe, PayPal and SumUp, which process payments.
  • Zoom, for live training, workshops and sessions.
  • Google Workspace and Notion, where I keep training resources and practitioner records, connected to Kajabi through Zapier.
  • TidyCal, for booking calls and one-to-one sessions.
  • Claude, an AI assistant made by Anthropic, which I use to help with administration, emails and preparing content. It is given only the information needed for the task in hand.
  • Marketing support: outside businesses and freelancers who help me with marketing, social media, design and advertising, and the advertising platforms I use when I run adverts. They work on my instructions and see only what they need for the work.
  • Postal and courier services, to deliver training packs.
  • My accountant, and any authority I am legally required to share information with.

Practitioners who teach Mindful Mamma® classes are independent businesses. If you book a class with a practitioner, they are responsible for the information you give them and will have their own privacy policy.

5. International transfers

Some of these services, including Kajabi, Stripe, PayPal, Zoom, Notion, Zapier and Anthropic, store or process information outside the UK, mainly in the United States and the European Union. Where that happens, the transfer is protected by the safeguards UK law requires, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.

6. How long I keep it

  • Purchase and accounting records: six years after the end of the tax year they relate to, as UK law requires.
  • Practitioner training and certification records: while you are a registered practitioner and for six years afterwards, so that I can confirm your training if asked.
  • Course and community access details: for as long as you have access, and then for a reasonable period in case you return.
  • Mailing list details: until you unsubscribe.
  • Session and class information, including health information: only as long as needed to provide the service and to meet professional record-keeping requirements.

7. Your rights

You have the right to ask for a copy of the information I hold about you, to have it corrected, to have it deleted, to restrict or object to how it is used, to receive it in a portable format, and to withdraw consent at any time where I rely on consent. To use any of these rights, email [email protected]. I will reply within one month.

If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Cookies

This website uses cookies that are needed for it to work, for example to keep you logged in and to process checkout. With your agreement, it may also use analytics and advertising cookies, which help me see how the site is used and how well my adverts are working. You can change your cookie choices at any time through your browser settings.

9. Security

Your information is held on secure, encrypted systems, and access to it is limited to me and the services listed above. Card payments are processed to the PCI-DSS standard by my payment providers. No system is completely secure, but I take reasonable steps to protect your information from loss, misuse or unauthorised access.

10. Children

My courses, training and mailing list are for adults. I do not knowingly collect information from anyone under 18 without the consent of a parent or guardian.

11. Changes to this policy

I will update this policy when the way I use information changes. The effective date at the top shows when it was last revised, and if a change is significant I will let you know by email.
